E-invoicing means structured data, not an emailed PDF

European e-invoicing rules increasingly require an invoice that software can read field by field. A normal PDF may look correct to a person, but it does not automatically provide the structured seller, buyer, VAT, line and payment data expected by accounting systems and public platforms. XRechnung, Peppol BIS and Factur-X use defined XML structures based on the European EN 16931 semantic model. An e-invoice can still have a human-readable rendering, but official processing depends on its structured fields and profile rules. The recipient may also require an electronic address, order reference or national routing identifier. Requirements differ by country, customer type and rollout date, so confirm the applicable national guidance before sending. This is general guidance, not tax advice.

XRechnung, Peppol BIS or Factur-X?

Choose XRechnung when a German customer or public buyer requests it, and enter the buyer reference they supplied — often a Leitweg-ID in public-sector workflows. Choose Peppol BIS Billing 3.0 when your customer receives invoices through a Peppol-connected process, common in cross-border and Belgian workflows. Factur-X uses UN/CEFACT CII data and is prominent in France. Ask the recipient which profile and delivery channel they accept before choosing. A structurally valid XML may still be rejected when a network or buyer applies extra business rules. This version downloads the EN 16931 CII XML only; it does not claim to create a certified Factur-X PDF/A-3 hybrid file.

The generator checks its own work

As you type, the form calculates each line, groups VAT by rate, updates the totals and renders the same readable invoice view used by ArveBot’s e-invoice viewer. Before download, the selected XML is generated, parsed again through the viewer pipeline and checked with the instant Tier 1 EN 16931 rules. A failed round trip blocks the download and points you back to the fields that need attention. That self-check catches missing essentials and arithmetic inconsistencies before the file reaches your customer. Review names, identifiers, bank details, dates and tax treatment before sending; automation cannot decide which VAT treatment applies to your sale.

Your invoice stays on your device

Invoice editing, calculations, XML generation, parsing and validation all run locally in your browser. ArveBot does not receive the names, addresses, VAT IDs, line descriptions, prices, bank details or downloaded XML. The draft is stored in your browser so you can continue later. Seller details are saved separately only when you select “Remember my seller details.” Clear the form or your browser storage to remove local data. An optional waitlist signup sends and stores only your email, language and the generator source, used only to contact you about that request.

Which format should I send?

Use the format your customer or receiving platform requests. XRechnung is the usual choice for German public-sector and many German B2B workflows. Peppol BIS is designed for Peppol-connected exchanges. Factur-X CII is relevant to French workflows, but French invoice transmission runs through a state-approved platform.

Does ArveBot receive my invoice data?

No. Editing, totals, XML generation and instant validation happen in your browser. Invoice data is not uploaded to ArveBot. Optional waitlist signup stores only the email address you enter, your language and the generator source, and uses them only to contact you about that request.

How does the 3-download limit work?

The anonymous free allowance is tracked in local browser storage and resets by calendar month. Signed-in Free accounts include 10 downloads per month, while paid plans include unlimited e-invoice downloads.

Does the Factur-X option create a hybrid PDF?

Not in this version. It downloads the structured EN 16931 CII XML used by Factur-X. The file is clearly labelled XML-only because ArveBot will not claim PDF/A-3 or Factur-X hybrid conformance without a complete conformance toolchain.
